Job Families and Functions

  • Job Family: A collection of jobs involving similar types of work and requiring similar experience, training, skills, knowledge, and expertise
  • Job Function: A subset of a job family, usually more specialized in nature

  • Job Categories: A progression of job levels attributed to the fundamental nature of work being performed, providing consistency across job families and supporting career
  • Job Level: A categorization of the scope, authority, and responsibility required for a job

  • Provides support and/or service in a “hands-on” environment that contributes to regular University operations
  • May include, but is not limited to, work that is administrative, technical, and/or operational in nature; generally supports well defined tasks, procedures, or activities
  • Positions in this category are generally paid on an hourly basis

Professional Contributor
  • Designs, implements, guides, and/or delivers processes, programs, and/or policies using specialized knowledge or skills

Manager / Leader
  • Oversees broad portfolios of responsibility
  • Plans, prioritizes, and/or directs responsibilities of employees; and/or manages strategy and policy/program development for a function, department, or unit
  • Positions in this category typically have multiple direct reports and are generally exempt under the FLSA

Executive Leadership
  • Oversees significant administrative responsibilities and duties and exercises considerable independent discretion and commits the University to a long-term course of action
  • Leads the institution to achieve mission and values by serving as a senior strategic and operational leader with direct and significant impact on a college, division, or major functional area, and some impact on the entire institution
  • Establishes and implements strategies that have significant and long-term impact on university business results and outcomes; responsible for improving upon organizational structure and strategy, leveraging on personal past experiences and in-depth understanding of best practices in the marketplace that may improve the competitive position of the University; requires ability to negotiate and compromise, and ability to influence the strategic vision of the University
  • Decisions usually involve coordination and integration of other colleges, divisions, or a major function, and/or have a significant impact on the institution's strategies, operations, outcomes, and budgets; exercises autonomy to facilitate the decision-making process for matters of institution-level impact; typically reports to University President or Provost
  • Provides direction, leadership, and guidance to multiple complex group(s), organization(s), and individuals typically led by other senior leadership; generally manages multiple levels of senior leaders, including Manager IV and Manager V

  • Complexity of Work: Complexity of job tasks or problem solving or creative production
  • Scope of Accountability: Degree of sole/shared responsibility for outcomes and impact
  • Autonomy: Degree of sole/shared responsibility for decision-making, and degree of supervision
  • Communication and Collaboration: The nature and scope of the communication and collaboration
  • Effective Knowledge: Education, experience, and/or training required; OR minimum sum total of education, training, skill, and experience required to perform the job to the normally expected standard. This encompasses the depth, scope, integration, and application of skills within and outside the body of knowledge or specialty applicable to an individual job category
  • People Management (OC 3, PC 4 and 5, M 1-5): Degree to which a position must develop, lead, and influence individuals and internal and external stakeholder groups

Job Profiles, Descriptions and Postings

  • Job Profile: High-level definition of job purpose, responsibilities, and qualifications. Job profiles categorize jobs using the job family architecture and ensure consistency across similar job functions and levels. Job profiles do not reflect reporting lines.
  • Job Description: Detailed definition of job purpose and responsibilities specific to an individual position within a team, unit, or department. Job descriptions reflect organizational structures and reporting lines and are likely to include knowledge, skills, and abilities.
  • Job Posting: An advertisement designed to attract applicants that contains a detailed description of day-to-day tasks. Job postings are likely to include knowledge, skills, and abilities and may include preferred qualifications.
